Software that connects
How David Dahncke reorganised his bookkeeping with Motorica and saves around three hours every week
David Dahncke works as a freelance AI consultant, software engineer and solution architect. Software is not an abstract tool for him – it is part of his daily business.
That is why he has clear expectations of digital solutions: they should not make processes more complicated, but connect them in a meaningful way.
His verdict on Motorica puts exactly that into words: “Software that connects.”
For David this sentence mainly means one thing: invoices, quotes, receipts, banking and tax processes no longer need to be treated as separate worlds. Information is created once and can then be reused wherever it is needed.

The starting point: bookkeeping at the weekend
As with many freelancers, bookkeeping for David used to be one of the tasks that stayed undone during the working week. The result was a recurring block at the weekend.
David spent about four to five hours gathering his documents, looking for receipts and preparing everything for his tax advisor.
The problem was not one large task. It was the many small steps: collecting receipts, checking invoices, assigning documents, finding information on different devices and in different folders.
Actual bookkeeping often only started after the necessary documents had been hunted down. With Motorica, David has fundamentally changed this process.
Today, bookkeeping happens in everyday work
Instead of collecting documents over several days or weeks, David now processes his business transactions immediately. He creates outgoing invoices directly in Motorica. From the start they exist not only as a document, but also as a structured data record.
Receipts are no longer put aside for later either. As soon as David receives a receipt, he scans it with the Motorica app and files it digitally straight away.
Bookkeeping therefore moves away from the weekend and into the normal working day. Many small follow-up tasks become a continuous process.

Around three hours less admin work per week
The change is measurable for David. He used to spend four to five hours regularly preparing his bookkeeping. By capturing invoices and receipts immediately and connecting the processes, he now estimates that he saves around three hours per week.
That is not simply less bookkeeping work. Above all it means that a large part of the searching and follow-up disappears. Documents no longer have to be found again because they are already where they belong. Business transactions are not reconstructed afterwards – they are recorded as they happen.
The real change is therefore not a single feature. It is the moment when the work gets done: bookkeeping used to be collected. Today it is created continuously. Receipts used to be searched for later. Today they are captured immediately. Invoices used to be written only at the home PC. Today David can create them on the go.

By capturing invoices and receipts immediately and connecting the processes, the old weekend search for documents disappears. David estimates that he now saves around three hours of admin work per week – previously he regularly spent four to five hours on preparation.

Invoices no longer only at the desk
Another difference shows up in one of the most everyday processes for a freelancer: writing invoices.
David used to do this only at home on his PC. Today he also writes invoices with Motorica on the go. He has not measured a specific time saving here. For him the benefit is mainly flexibility.
An invoice no longer has to wait until he is back at his desk. He can create it where the work is happening. For freelancers this changes how they deal with office work: admin is no longer a separate appointment at the end of the day, but can be done when it makes sense.
Quotes and invoices in one process
David uses Motorica to create his quotes and invoices. The two steps do not sit side by side in isolation.
Information from daily business can be reused in a continuous process. That reduces duplicate work and means that relevant business data is already available in structured form.
For David, this connection between different areas is a central advantage of the software.
Capture receipts immediately instead of searching later
This approach is especially clear with receipt filing. The old process was reactive: at the weekend David had to think about which documents should exist and where they were stored.
Today the process works the other way around. A receipt arrives. David scans it. The receipt is then in his digital file and can be processed further. The later search largely disappears.
In addition, David uses Motorica’s document analysis to process documents digitally and make the relevant information usable. A static document becomes part of the digital business process.
Bank matching for invoices and receipts
Payment processes are also part of this connected workflow for David. Motorica uses bank transactions to bring business events together with the matching documents.
David uses bank matching especially for his outgoing invoices and receipts. That makes it possible to see which payment belongs to which transaction without matching bank account, invoice and receipt purely by hand.
This is exactly what David means by “software that connects”: an invoice is not just a PDF file. It is part of a transaction. And that transaction does not end when the invoice is sent – it continues through payment, allocation and bookkeeping.
VAT returns and income surplus statements via Motorica and ELSTER
David also uses Motorica for his tax processes. He can prepare, validate and submit his VAT advance return and his income surplus statement through Motorica’s ELSTER connection.
This is not an isolated process outside the office software either. The data that already arises during the year from invoices, receipts and payments forms the basis for the tax processing. For David that means fewer media breaks and less manual preparation.
Software that connects
David develops software himself and works professionally with artificial intelligence, software architecture and automation. His requirements for digital tools are therefore high.
For him, good software is not about offering as many features as possible next to each other. What matters is whether individual features become a meaningful overall process.
That is where he sees Motorica’s strength: “Software that connects.” Invoices connect with payments. Receipts connect with business transactions. Business data connects with tax processes. And admin work becomes part of a normal working day instead of piling up at the weekend.
For David that mainly means one thing today: around three hours less admin work per week and much more flexibility in his freelance work.
Get more done, spend less time on admin
Motorica connects the core commercial processes of freelancers and small businesses in one application. From quote and invoice through receipts and bank movements to tax processes, connected digital workflows emerge – so office work no longer takes over the evening or the weekend.
